MISSION STATEMENT
The purpose of the Parade Committee is end-to-end management of the Chamber’s  annual Holiday Parade, from planning through participant enrollment and traffic direction on the day of the parade. The Parade Committee is also responsible for coordinating the ‘best of Parade’ awards.

Committee Tasks

What our committee is expected to do.

The Parade Committee will:

  • Plan, organize and execute the annual Holiday Parade;
  • Work in conjunction with the Events Committee and other Committees as warranted to ensure a successful Parade;
  • Coordinate and manage pre-parade events in the West End;
  • In January the Events Committee meets on its own separately from the Board to create a committee plan & proposal & pick its members to be approved by the Chamber Officers. 
  • Each month the Events Committee will report by the 1st of the month in preparation for the directors’ meeting on or about the 2nd Wednesday of the month.

PARADE COMMITTEE TOOLZ

The Roster for the Parade Committee is the annual LIST OF PARADE MARCHERS (people and groups registered to march or drive in the Holiday Parade).

This list should be inherited from the previous year and updated through Parade Day. The latest version should be stored in the Shared Files section.

    REPORTING

    1) Monthly: Run a Task Report and review it.

    Committee Chairpersons run an 'All Tasks' report after the end of the month and review it with their team. That report should be a contributing factor in what R.A.G. Status you report. Export the report as a PDF and attach it to your Monthly Status Report below.

    2) Monthly: Report R.A.G. status.

    Based on your review of the All Tasks report and team discussion, answer two questions: What is your Commitee's Red / Amber / Green status today? What is the main deciding factor in setting that Status? Your Monthly Status Report should be submitted by the 5th of the month.

    3) Quarterly: ID Lessons Learned.

    Once every three months or so, meet with your Committee to discuss your last three Status Reports. How can we do better next time? What project processes or steps need to be started, stopped, or continued? Use the Lessons Learned template for a smoother process.

    4) Quarterly: ID New Best Practices.

    Finally, once every three monts or so, distill Lessons Learned into Best Practices as possible and log them. Add this task to a Committee meeting agenda at least once per quarter or use the Lessons Learned Template as directed.
